Thanks to the clearly structured and intuitively designed user interface, you find yourself from the first moment on without any problems and can create, manage and send your invoices in just a few steps. Long training times or complicated menus are a thing of the past. Our goal is to make invoice creation as simple and efficient as possible so that you can focus on what matters. That is why all functions are logically structured and designed in a way that is easy to understand – for a quick and smooth workflow in everyday life. General Questions

In which languages can I use the software?

The software interface is available in German and English. You can switch languages at any time in the settings.

Which devices can I use the software on?

The software is optimized for both desktop and mobile devices. You can use it on PCs, tablets, and smartphones.

Can I export my data?

Yes, all relevant data, such as invoices, customer information, and product details, can be exported as CSV files. For more information, please refer to our tutorials.

Can I manage multiple businesses within one BillStore account?

No, unfortunately this is not possible. A separate BillStore account must be created for each business.

Can I assign individual user permissions?

No, the software currently does not support user roles or customizable permissions.

Can I send invoices directly to customers via email?

Yes, provided that the customer's email address is stored in BillStore.

Invoices

In which languages can invoices be created?

Invoices can be created in German and English. The invoice language can be selected individually for each document.

How do I add legally required information to my invoices?

BillStore uses templates for each legal business structure, with mandatory fields clearly marked for all legally required information.

Can I create and validate e-invoices?

Yes, you can create and send e-invoices directly. You can also visualize and validate received e-invoices. The software checks the invoice structure for validity and highlights any potential errors.

Can I send payment reminders with reminder fees?

Yes, payment reminders can be generated. You can optionally add reminder fees and customize your reminder process.

Can I create quotations or cost estimates?

No, BillStore currently does not support the creation of quotations or cost estimates.

Customer and Product Management

How can I manage customers?

In the customer management section, you can create new customers, edit existing ones, and manage customer information such as addresses, contact persons, and payment terms. Customers who have already received an invoice cannot be deleted. However, they can be marked as inactive.

How do I manage my products or services?

Products and services can be created and managed with categories, names, descriptions, prices, tax rates, and optionally article numbers (SKUs). They are then immediately available for invoice creation. However, BillStore does not provide inventory management on a per-item basis.

Can I manage inventory levels with BillStore?

No, unfortunately this is not possible.

Payments and Outstanding Invoices

How are incoming payments recorded?

Currently, payments can be manually assigned to sent invoices. With the next update (scheduled for mid-August 2026), it will be possible to perform automated payment reconciliation by connecting a bank account.

Can I monitor outstanding invoices?

Yes, the software displays invoice items as outstanding if no payments have been assigned to them.

Can I record partial payments?

Yes, BillStore supports the recording of partial payments.

Data Security

How secure is my data in the software?

All data is transmitted and stored in encrypted form. We use modern security standards to prevent unauthorized access.

Where is my data stored?

Data is stored on secure servers in certified data centers located in Germany. Depending on the configuration, these may be local servers or cloud-based solutions.

Who has access to my data?

Only you and users authorized by you can access the data in your BillStore account.

Are automatic backups available?

Yes, the software performs regular automatic backups to help prevent data loss.

Is the software GDPR compliant?

Yes, the software complies with the requirements of the GDPR. This includes: Encrypted storage and transmission of personal data Auditable access controls The right to access, correct, and delete personal data
